Kadence Leaderboards
Privacy Policy
Effective October 22, 2026
Privacy is how Kadence is built, not a setting. Your rides are yours. We keep only what a club challenge needs, we never sell or share your data, and you can delete everything whenever you want.
1. Who we are
Kadence Leaderboards is the club challenge service of Kadence. Riders and coaches use it through the web app and the Kadence Sports app to run challenges, timed segments and events. This policy covers that app. Kadence is responsible for your personal data as the data controller under Colombia's data protection law (Law 1581 of 2012 and Decree 1377 of 2013).
2. What we collect
We collect only what the service needs to work, and only with the authorisation you give when you create your account.
| Data | Why | Kept |
|---|---|---|
| Account Email, display name, password, birth year, sex and, if you choose one, a category | To sign you in and place you in the right competition division | Until you delete your account |
| Rides recorded with Kadence Sports Date, duration, distance, climb, cadence, speed and a simplified route with its times | To count your rides in challenges and time you on segments | Until you delete your account |
| Rides you import From Wahoo or a FIT file: the ride summary and route and, if your device recorded it, your average and maximum heart rate | Same as above | Until you delete your account |
| Rides from other connected services Ride summary and route | Same as above | Only as long as that service's terms allow, and never more than 7 days. After that we keep only the result: the level you cleared or your segment time. |
| Club activity Clubs you belong to, your progress in challenges, your segment times and the events you join as a guest | To build the club's boards | Until you leave the club or delete your account |
| Coach content Club details, challenges and the segment routes a coach uploads | To run the club | Until the coach deletes them |
| Session cookie A random sign-in token | To keep you signed in. It's our only cookie. | 30 days, or until you sign out |
| Technical logs Operational events from our servers | To keep the service running and secure | 30 days |
We don't collect payment details, contacts, photos, advertising identifiers or your browsing activity, and we don't track your location outside the rides you choose to bring in.
3. Who sees what
- Only you: your rides, routes, heart rate, email and birth year.
- Members of your club: on challenge and segment boards, your position, display name, level reached, division (based on sex) and category, plus your time on a segment. The moment you cleared a level is never shown, only your position. Segment times from some connected services are shown only if you turn that on under Privacy in your dashboard.
- Event guests: the same board details, only for the event they joined.
- Your club's coach: the member list and each member's category.
- Anyone outside the club: nothing. Club pages, member lists and boards are closed to non-members.
4. How we use it
We use your data only to run your account, count your rides in challenges, time your segments, build your club's boards and keep the service secure. We never sell, rent or trade your data, use it for advertising, build marketing profiles or share it with data brokers.
5. Service providers
No third party receives your data for its own purposes. We rely on:
- Amazon Web Services, which hosts our servers and database. AWS processes data only on our instructions, under contract.
- Fitness services you choose to connect, such as Wahoo. They're used only to bring in your rides, and we send them nothing about you beyond the connection you authorise. Disconnecting revokes our access.
The app loads no third-party scripts, fonts, maps or analytics. Every file comes from our own servers.
6. Where your data lives
Your data is stored on Amazon Web Services in the United States. By creating an account you authorise this international transfer, and we protect your data there with the same safeguards described in this policy.
7. Security
- All traffic is encrypted with HTTPS, and stored data is encrypted at rest.
- Passwords are stored only as salted scrypt hashes. We can't read them.
- The sign-in cookie can't be read by scripts on the page.
- Access keys for connected services are stored encrypted and never leave the server.
- Every request is checked against your own account and club memberships before any data is returned.
8. Retention and deletion
You can delete your account at any time under You → Account → Delete account in the Kadence Sports app, or by writing to us. Deleting your account permanently removes:
- your account and profile,
- every ride, from every source,
- your standings, segment times, club memberships and event participations,
- your links to connected services, whose access we revoke,
- all your active sign-in sessions.
If you own a club, hand it over or delete it first. Deleted data also disappears from our backups within 35 days. Rides saved on your phone aren't affected.
9. Your rights
Under Law 1581 of 2012 you can, free of charge:
- know, update and correct your personal data,
- ask for proof of the authorisation you gave us,
- ask how your data has been used,
- revoke your authorisation and ask us to delete your data,
- file a complaint with the Superintendencia de Industria y Comercio (SIC) once you have raised it with us.
We answer questions within 10 business days and claims within 15 business days.
10. Children
Kadence isn't directed at children under 13. Riders under 18 need the authorisation of a parent or legal guardian. If we learn that we hold a child's data without it, we delete it.
11. Changes
If we change how we handle your data, we'll update this page with a new effective date before the change applies. We'll never start using your data for a new purpose without asking you first.
12. Contact
For questions, requests or complaints about your data, write to us through kadencesports.com.
